Privacy Policy

The short version
PlayerLens stores video of youth athletes. We take that seriously, so here is the summary before the detail:
- Only adults hold accounts. Children never sign up, never log in, and are never contacted by us.
- Your video is analyzed on infrastructure we control. It is not sent to OpenAI, Anthropic, Google, or any other third-party AI service.
- We do not use your video to train AI models. Not ours, not anyone's.
- We do not sell your data, share it with advertisers, or use it for advertising.
- You can delete it. Athlete profiles, individual videos, or your whole account.
The rest of this document explains exactly what we hold and why.
1. Who we are

2. Our position on children's data
This deserves its own section because it is the reason most families will read this page.
PlayerLens is an adults-only service that holds information about minors. Those are two different things and we want to be precise about both.
- Accounts are held only by adults 18 or older — parents, guardians, coaches, and instructors.
- Minor athletes do not create accounts, do not log in, receive no email from us, and cannot be contacted through the service.
- Information about a minor athlete reaches us only because an adult chose to provide it — by creating a profile or uploading video.
- We do not knowingly collect personal information directly from a child.
If you are a parent or guardian and you believe someone has uploaded video of your child without your permission, contact us at [privacy@playerlens.io]. We will locate the content and remove it.
If we learn a minor has created an account, we will close it and delete the associated data.
3. What we collect
Information you give us
Account information — email address, a hashed password, your name, and your team memberships. We never store your password in readable form.
Athlete profile information — for each athlete you add: name, birth date, sport (baseball or softball), batting side, throwing hand, positions, skill level, goals, coach notes, and any limitations you record.
Birth date deserves a note: we collect it because age context materially changes what feedback is appropriate. It is used for that, and nothing else.
Video you upload — practice or game video, along with the session title, type, date, and any notes you add.
Waitlist information — if you join the waitlist, your email address, so we can contact you when access opens.
Information we derive from your video
Processing your upload produces additional data that we store alongside it:
- A thumbnail image
- Nine still frames sampled from the clip
- Markerless body-pose landmark estimates (MediaPipe)
- Pose-overlay and comparison images
- Computed pose metrics — head travel, shoulder and hip tilt, torso lean, knee angles, stack distance
- An approximate swing-window marker
- A short analysis slideshow
- AI-generated evaluation text: scores, summaries, strengths, issues, and drill recommendations
A note on pose data: these are estimates of where body joints appear in a video frame. They are not facial recognition, fingerprints, or biometric identifiers, and we do not use them to identify anyone.
Information collected automatically
Analytics. The public website uses Plausible, a privacy-focused analytics service. It uses no cookies, does not track you across sites, and does not build a profile of you.
Error monitoring. We use Sentry to detect crashes and bugs. Our Sentry configuration is deliberately restrictive: IP address storage is disabled, personal-information capture is disabled, and request bodies, form values, query strings, headers, cookies, filenames, email addresses, and file paths are stripped before an event is sent. Error text mentioning athlete data, notes, uploads, or prompts is replaced with a generic description. Session recording is off; on error, all text and inputs are masked and media and file inputs are blocked. We keep the shape of the failure, not your content.
Standard logs. Ordinary server logs for security and troubleshooting.
4. How your video is processed — and where it goes
Your video is processed on infrastructure operated by Segment Technologies LLC. Frame extraction, pose estimation, and AI evaluation all run locally on our own systems using a self-hosted model (Ollama).
Your video is not sent to any third-party AI provider. Not OpenAI, not Anthropic, not Google, not anyone.
Your video is not used to train any AI model — ours or anyone else's.
We consider this a feature, not a footnote. It is a deliberate architectural choice, and if it ever changes we will tell you before it does, and give you a way to opt out.
5. How we use your information
- To run the service: store your video, process it, generate evaluations, and show you results over time
- To authenticate you and keep your account secure
- To send transactional email — invitations, password resets, waitlist confirmations
- To detect and fix bugs, and to keep the service secure
- To comply with legal obligations
We do not sell your personal information, share it with data brokers or advertisers, use it for advertising or profiling, or use athlete data for any purpose beyond returning results to the adult who uploaded it.
6. Who can see athlete data
You and the people you share with. Video and evaluations are visible to your account and to team members with appropriate roles on a team the athlete belongs to.
Before adding an athlete to a team, understand that team members will be able to see that athlete's video and evaluations.
Us. Our staff can access data where necessary to operate the service, investigate a problem, or respond to your request. Today that is one person.
Service providers, limited to what each needs:

Legal requests. We may disclose information if legally required. If we can lawfully tell you first, we will.
Business transfer. If the business is sold or merged, your information may transfer. You would be notified, and this policy would continue to govern until replaced.
7. How long we keep it

8. Your rights and choices
You can:
- Access your account, athlete profiles, video, and evaluation history at any time in the app
- Correct athlete profile information
- Delete individual videos, athlete profiles, or your entire account
- Export — request a copy of your data by emailing us
- Withdraw by closing your account
Parents and guardians specifically: if an athlete's video was uploaded by someone else — a coach, an instructor, a team administrator — you can still contact us directly at [privacy@playerlens.io] to see what we hold about your child, correct it, or have it deleted. You do not need an account to make that request, and you do not need to go through the person who uploaded it.
Depending on where you live, you may have additional rights under state privacy law. Contact us and we will honor them.
9. Security
- Encryption in transit (HTTPS)
- Passwords hashed, never stored in readable form
- CSRF protection on all state-changing requests
- Authentication required for all athlete data
- Error monitoring configured to strip personal information before it leaves our systems
- Access to production data limited to those who operate the service
No system is perfectly secure. If a breach affects your data, we will notify you as required by law and tell you what happened.
10. Where data is stored
Data is stored and processed in the United States. If you use PlayerLens from outside the U.S., your information will be transferred here.
11. Changes to this policy
We may update this policy. For material changes — particularly any change to how video is processed or how long it is kept — we will notify you by email before the change takes effect. The "last updated" date at the top always reflects the current version.
